Position Purpose
The Financial Administrator works in collaboration with the Finance Office team to serve the Thayer community with an emphasis on timeliness, accuracy and professionalism. The Financial Administrator uses a proactive and collaborative approach, technical expertise, and systems, and works to standardize current processes and seek out process improvements to ensure consistency and accuracy. The Financial Administrator reviews and processes transactional requests using a variety of methods and tools, and provides information to customers on Dartmouth College policies and procedures.

  • Two to four years of customer service, accounting, payroll processing or other directly related experience
  • Ability to effectively communicate to all customers and staff with strong customer service and listening skills.
  • Advanced problem solving, resolution and analytical skills and the ability to prioritize and manage time.
  • Able to work under pressure of time constraints and ability to multitask
  • Projects a professional image and use proper telephone and e-mail etiquette.
  • Excellent data entry skills and attention to detail
  • Adaptable to change.
  • Commitment to diversity and to serving the needs of a diverse community.

Preferred Qualifications
  • Experience with data entry, Dartmouth information systems, and the Microsoft Suite, is preferred.
  • Additional training in customer service is helpful.

Key Accountabilities

Description

Customer Service/Troubleshooting

  • Delivers exceptional customer service, ensures timely responsiveness and accuracy.
  • Works closely with the Dartmouth Admin Provost Finance Center to process transactions.
  • Assumes active role as advisor and trainer to the Thayer community regarding Dartmouth fiscal policies and processes; provides procedural guidance.
  • Utilizes multiple systems to obtain and record information, stays updated on system changes and enhancements.
  • Prepares basic reports; transfers data from Oracle or other systems to Excel for distribution.
  • Accurately identifies and analyzes customer issues, assumes ownership, diagnoses problems, identifies solutions, and executes effective methods for resolution. Escalates critical or expertise-specific issues to the Director.
  • Cross trains with other Finance Office team members to assure adequate coverage, accurate and consistent information and timeliness.

Description

Financial Transactions (Payroll, Accounting and Procurement)

  • Responsible for the accurate review/interpretation, auditing and reporting of data in Dartmouth HR/Financial systems including but not limited to: Oracle, PASF, OnBase, NextGen, Kronos and Agiloft.
  • Prepares and processes deposits, journal transfers, source allocations and other areas as assigned.
  • Collaborates with Central Finance, including the Admin Provost Finance Center and other offices to ensure compliance with Dartmouth policies.
  • Processes student hires for courses and research positions into NextGen.
  • Reviews weekly payroll reports for student employees and staff employees for accuracy.
  • Notifies students and employees regarding timesheet errors, assists with corrections and ensures compliance with payroll deadlines.
  • Coordinates with the Admin Provost Finance Center on Payroll tasks/issues.
  • Understands Dartmouth's procurement policies and procedures and communicates them to the Thayer community.
  • Assists departments with procuring goods and services using the most appropriate procurement option.
  • Works with Procurement and vendors to resolve issues related to purchase orders or invoices.

Description
Financial Reporting and Analysis

  • Prepares and analyzes detailed financial reports (including student groups, project courses, labs, etc.)
  • Develops, maintains and reports using viable audit procedures to ensure accurate and timely information.
  • Monitors and advises managers and student groups (including projections and accountability).
  • Analyzes and reconciles monthly transactions for accuracy and spending patterns.
  • Performs selected financial analyses and ad hoc projects under the direction of the Director.
  • Guides the Thayer community on using the Thayer chart of accounts.
