Pay: $52000 - $77300 / year
Schedule: M - F; 8a - 5p (flexible)

Essential Duties and Responsibilities
The Workplace Experience Specialist is directly accountable for the following typical activities:
To establish effective lines of communication with client staff in the building(s) they manage and ensure service standards meet or exceed client expectations.
Manage the reception if required in the scope of service. Oversee a large number of tasks performed by reception including switchboard, mail and courier services, dealing with visitors and meeting rooms.
To liaise with client and any appropriate specialist resources regarding any project work or special circumstances that may arise, including receptions, press announcements, security issues.
To regularly visit all parts of the building(s) to maintain standards and anticipate problems that may arise. Carry out building facilities inspections on a routine basis (weekly and monthly).
To ensure that all staff directly or indirectly employed on the contract perform their duties in a way that causes minimum disruption to NCR's staff and their customers, respecting and enhancing the reputation of client within the local or wider community. In particular ensure that the reception staff, provided through a supplier, provides the best service to NCR.
To be responsible for ensuring all staff and contractors are aware of, and comply with, their responsibilities under the contract with particular emphasis on standards of service required.
Act as a point of co-ordination and communication whilst working with the Regional Manager to introduce initiatives and encourage a continuous improvement philosophy.
To establish close working relationships with all Service Providers and the landlord. Co-ordinate feedback on their performance to the Regional Manager to ensure service providers overall performance can be monitored and managed.
Meet monthly with specific Service Providers (designated by the Regional Manager) and the landlord to review performance, budget alignment and pan-account issues for feedback to the Regional Manager.
Prepare and administer facilities budgets and monitor spend; contribute towards budget forecasts.
To act as a focal point for the region in the preparation and control of the client 'outlook' forecast process. Assist to ensure correct accruals and journals have been entered and ensure that the description of any significant variances is correctly recorded.
To review performance and financial statistics for their building(s) working with their team of service providers to resolve any problems that arise.
To ensure all staff and Service Providers are fully aware of, and operate within, the JLL Quality Management (QMS) system. Provide feedback and development towards continuous improvement of the JLL QMS.
Ensure all documentation is kept up to date in accordance with JLL QMS system.
Keep up to date on modern FM 'best practise' making recommendations to the management team and client where appropriate.
Accountable to the Regional Manager for ensuring all staff and contractors operate in compliance with JLL Environmental, Health & Safety policies and procedures and with local, national or European EHS legal requirements. Meet health and safety responsibilities as defined in Company Health and Safety procedures.
Working with the local client Management, review Business Continuity plans to ensure JLL can continue to deliver all services to client and can adequately support Client in the event of an occurrence.
Contribute to monthly/quarterly reporting in accordance with JLL/Client format and specification.
Carries out any other duties as required by the Line Manager to ensure the smooth running of the Facilities Management department.
Continual awareness of all onsite events, to ensure visitor experience is personalised and optimised
Proactively contribute to maintaining the highest standards of presentation and functionality across the identified front of house and meeting and event areas, with great attention to detail
Monitor meeting room environments including furniture, signage, equipment, temperature, fabric and consumables, ensuring fine detail is captured
Daily liaison with one-team partners such as security and janitorial teams on the coordination of meetings and events
Play a key part in supporting onsite space audits and walk-the-store processes
Other duties as assigned.

Additional Duties and Responsibilities
Responsible for initiating and closing purchase orders. Maintains purchase order file for invoice back-up in anticipation of receipt of invoices for accounts payable processing..
Assists Regional Facilities Manager and other team members in preparing Standard Operating Procedures manuals.
Assures compliance with Jones Lang LaSalle policies, procedures and standard practices.

Key Performance Measures
Compliance with Health and Safety legislation.
High customer satisfaction survey rating.
Work order closure within agreed timescales using JLL 360 System

Skills & Competencies
Customer focused, Fluent in English & local language, Good working knowledge of Microsoft Word, Microsoft Excel, Microsoft Outlook, Internet access, PowerPoint, and any other software program or piece of technology identified as standard for Jones Lang LaSalle or requested by Client. Have the ability to work under minimal supervision, Excellent organizational skills, Strong interpersonal skills

Experience
1 years experience working in a similar position or
At least 2 years experience working in a Customer facing environment.
